Studio Admin Assistant - Full Time

Helen Lucas Architects are seeking a proactive, organised and experienced Studio Admin Assistant to join our team. Working closely with our Practice Manager, this varied role offers the opportunity to support the smooth day-to-day running of the studio while contributing flexibly across several areas of the practice. Responsibilities range from administration and bookkeeping to event coordination, PR communications and wider studio operations.

 

This position is ideally suited to a highly organised individual who thrives in a dynamic environment and takes pride in delivering excellent administrative and operational support. With no two days the same, this is an exciting opportunity to develop professionally within a creative, collaborative and people-focused workplace where initiative, attention to detail and teamwork are highly valued.

 

The ideal candidate will possess excellent organisational, communication and problem-solving skills, with the ability to manage multiple priorities and work both independently and collaboratively. Strong IT skills and experience with administrative and financial processes are highly desirable.

 

Key Responsibilities

·       Studio Operations – Supporting day-to-day operations & providing administrative support.

·       Finance & Administration – Assisting with timesheets, bookkeeping, expenses and VAT records.

·       Office Management – Managing project archiving & updating company policies and procedures.

·       Facilities Management – Assisting with H&S administration & equipment management.

·       CPD Coordination – Managing the CPD programme, ensuring compliance with ARB requirements.

·       PR & Communications – Assisting with website updates, award submissions and PR items.

·       Events & Team Activities – Planning and coordinating staff events, trips and celebrations.

 

Skills & Experience

Essential

·       Minimum of two years' experience in an administrative or office support role.

·       Excellent organisational and time-management skills.

·       Strong written and verbal communication skills.

·       Proficiency in Microsoft 365, including Word, Excel, and Outlook.

·       A proactive, solutions-focused approach with the confidence to take initiative.

Desirable

·       Experience using Adobe InDesign and Photoshop.

·       Basic bookkeeping or finance administration experience.

·       Experience supporting marketing, communications, events or PR activities.

·       An interest in architecture, design or the creative industries.
